For nearly 6 years, MJ Insurance has offered Compliancedashboard as a value-add service to its clients. The company first learned about Compliancedashboard in 2012 after acquiring a new client that had previous experience with the system. “That was kind of our kickoff client,” Ann Poland, Director of Compliance at MJ Insurance, said.

Fast forwarding 6 years from that initial “kickoff client,” Poland says the industry standard has changed. “There’s an expectation that clients have a tool for compliance like Compliancedashboard. And it looks good for us that we have that tool available,” she said. Compliance assistance is no longer just nice to have; it’s a necessity that clients expect.

Understanding the Challenges

MJ Insurance recognizes that HR personnel are pulled in many different directions in their jobs. Because these clients deal with so many moving parts, Poland says the most popular Compliancedashboard feature is the email reminder system. “We can talk to (clients) all we want,” Poland said, “but for them to have constant reminders is really key because they have so many roles they need to play anymore.”

Making it Personal

When it comes to serving clients, MJ Insurance knows that there is power in adding a personal touch. To ensure that clients fully understand the tool and feel comfortable using it, the company has adapted to their needs by incorporating a variety of personalized methods.

During compliance reviews, Poland sets up clients on the system. “We talk about how they can use the tool to store and link documents in case they get an audit,” she said. In addition to this initial introduction to the system, MJ has also utilized more in-depth training sessions.

“We have some clients who are rock star users, and they use it all the time,” Poland said. But for clients that need a little more help to get started, MJ has organized additional training webinars with their Compliancedashboard Client Engagement Specialist and invited clients to attend.

Adapting & Evolving

Over the years, the training process has evolved. Poland said MJ has most recently found that in-person trainings are the best way to ensure client success with Compliancedashboard. “I just met with a client yesterday, and we talked about Compliancedashboard,” she said. “I’m going to set them up, and then I’ll do a training with them right after.” This immediate, face-to-face service has proven to be an effective approach for MJ clients.

Poland also utilizes Compliancedashboard’s reports feature to further maximize engagement. “I run reports every once in a while to see if (clients) are logging in and looking at their calendars,” she said. With the information in the usage report, she can see which clients may need more follow-up communication or additional training.
